RESPONSIBLE TO: Program Director, Hong Fook Adult Day Health Care Center

COMMITMENT (HOURS): Full-time or Part-time

STATUS:  NonExempt (3 months orientation period)


JOB SUMMARY: Under the direction of the Program Director, the On-Call Secretary provides a variety of administrative support functions, including but not limited to: receiving visitors and telephone calls, maintaining detailed records and statistics, preparing reports, filing, typing a variety of materials, maintaining a schedule of client assessments and paperwork flow to various agencies, drafting of correspondence.


  • Performs advanced typing in the following areas: reports, statistics, proposals and general correspondence.
  • Maintains office records and organizes/modifies the filing system and the agency’s various mailing lists.
  • Provides general reception supports, answers telephones, provides information, directs client traffic and makes staff appointments.
  • Prepares a variety of periodic and special reports, which may require gathering data from several sources, compiling such data and arranging it into a proper format.
  • Proofreads for accuracy, completeness, correct English usage, and compliance with Agency policies and regulations.
  • Attends to a variety of office supports details, such as processing time sheets, ordering supplies and transmitting messages.
  • Sorts and distributes daily mail.
  • Perform other appropriate tasks deemed necessary by the Supervisor.


  • High school diploma.
  • Ability to work with various departments under time constraints.
  • Flexibility, initiative, creativity and organizational skills.
  • Bilingual in English and Cantonese languages required.


  • Good communication, organization & customer service skills.
  • Ability to prioritize works effectively and maintains confidentiality in sensitive matters.
  • Excellent word processing and typing rate at 45 wpm.
  • To lift a minimum of 20 lbs.
  • Proficiency with spreadsheet and database programs (Excel, Words,…..)
  • Meeting planning and calendar scheduling.

SALARY RANGE:  Depends on Experience.
